Why Every ServiceNow Roadmap Needs a Decommissioning Plan

Most ServiceNow roadmaps focus on growth. Organisations plan new capabilities, new modules, new automations, and new user experiences. Roadmaps are typically filled with initiatives designed to increase platform value.

 

However, very few roadmaps include plans for removing capabilities.

 

Over time, organisations naturally accumulate applications, integrations, customisations, reports, and workflows. Some remain valuable. Others become obsolete as business processes evolve. Without periodic rationalisation, platforms grow increasingly complex.

 

Every capability introduced into a platform carries a long-term ownership cost. It requires support, testing, upgrades, security reviews, documentation, and governance. These costs continue even if the capability is rarely used.

 

Architects should periodically assess whether existing solutions continue to provide value. Reports with minimal usage, redundant integrations, duplicate workflows, and outdated applications should be candidates for retirement.

 

Decommissioning is often viewed negatively because teams associate it with lost functionality. In reality, removing unnecessary complexity can significantly improve platform maintainability.

 

The most mature ServiceNow organisations treat decommissioning as a normal part of platform lifecycle management. They understand that sustainable growth requires both addition and reduction.

 

A roadmap that only introduces new capabilities will inevitably increase complexity. A roadmap that also removes obsolete capabilities helps maintain agility.

 

Architecture is not just about deciding what should be built. It is also about deciding what should no longer exist.
